1. Who is responsible

2. Information we use
For an account we use your name, email address, account type, preferred language, protected password data and verification records. Candidates can optionally add a phone number, introduction, skills and a private PDF. An application stores the explicitly confirmed information, any personal message, the selected vacancy, status history and, where included, a separate CV copy. Company profiles and vacancies contain the business information entered. Logos, company website links and published company and vacancy texts are public.
3. Purposes and legal bases
Accounts, sign-in, company profiles, job publishing and applications you request provide our platform services (Article 6(1)(b) GDPR). For business contacts who are not personally a contracting party, necessary contact details are processed based on our legitimate interests in communication and account administration (Article 6(1)(f) GDPR). Optional job alerts and additional access to current information are based on your respective choice or consent (Article 6(1)(a) GDPR), which you can end for the future.
4. Security and technical operation
Technical connection data, server logs and short-lived request counters support delivery, troubleshooting and prevention of misuse. This relies on our legitimate interests in a secure, functioning service (Article 6(1)(f) GDPR). Processing required to comply with legal obligations is based on Article 6(1)(c) GDPR. Private PDFs are encrypted and released only after an access check. Encryption does not replace careful selection of the information you upload.
5. Who receives information
Hosting and email services are provided by ALL-INKL.COM – Neue Medien Münnich in Germany. Authorised operator personnel can access information needed for their support tasks. The selected company receives your application only after confirmation, and current information only within a separate access grant. Password data is not shared with employers. Application emails contain a notification and a link to the protected area, without CV attachments. Employers are responsible for their subsequent use of application information they receive.
6. Translation of public texts
Automatic translation is intended for company introductions and vacancy descriptions meant for publication. Private candidate profiles, CVs, passwords and account contact data are not sent to translation services for this purpose. The original is preserved. Pending requests and original texts remain stored so processing can resume after an interruption. Language versions stored as part of a posting remain until changed or deleted.
Translation service currently selected: OpenAI Codex.
Translation is requested through an operator processing service using the operator’s existing OpenAI account. You do not need your own OpenAI account. The submitted texts intended for publication are processed by OpenAI; this does not promise exclusively European processing or a particular OpenAI deletion period. Private candidate documents are not submitted.
7. Operator location and international processing
KI-Master LLC is based in the United States, while the platform is technically hosted in Germany. The operator’s location and the server location are different facts. Applicable data protection requirements must be followed when selecting additional service providers and arranging cross-border access. 8. Storage and deletion
Account details and current profile information are stored for use of your account. You can change information and request deletion or account closure. Sent applications are handled as separate snapshots and are not overwritten by later profile changes. For a deletion request we assess which information is still needed for its purpose and whether legal obligations or necessary protection of legal claims prevent deletion. Information no longer needed is deleted. There is no blanket automatic deletion of all applications after 180 days.
9. Access grants, short periods and backups
Access to current information lasts no more than 180 days and can be revoked earlier. This affects new requests; copies already received remain the recipient’s responsibility. Application previews are valid for ten minutes and email verification links for 24 hours. Technical request counters expire after one minute or one hour, depending on their purpose. Our own encrypted server backups are cleaned up after seven days during regular backup runs. Separate recovery archives and hosting-provider backups must be distinguished from these. Technical server logs follow the deletion rules configured for operation; a security incident may require preservation of evidence.
10. Your rights
Subject to the applicable conditions, you have rights of access, rectification, erasure, restriction of processing and data portability. Where processing relies on legitimate interests, you can object on grounds relating to your particular situation. You can withdraw consent for the future without affecting the lawfulness of prior processing. You may complain to a competent data protection authority, particularly where you live or work or where the suspected infringement occurred. In Austria this is the Datenschutzbehörde.

11. Information you provide
Required information is marked in each form. We cannot provide an account, publication or application function without the information necessary for it. Phone numbers, additional profile texts and optional sharing are separate. Please do not upload unnecessary health information, identity documents or information about other people. Jobvelio does not make solely automated decisions about hiring you.
